Bring concrete questions to a demonstration
Check the work representatives actually need to do.
For union stewards and representatives
Open a case and find the concern, supporting record, current responsibility and work still to do. Spend the handoff explaining the issue, not where the file was saved.
A steward may be handling several matters alongside ordinary work responsibilities. One member has sent a document, another is waiting for an employer response, and a colleague needs help covering a deadline. The useful question is not just how many cases are open; it is which action belongs to whom today.
LaborNexa connects case assignments, next actions, deadlines and documents. A representative can keep the allegation and requested remedy with the same record used for follow-up. Review the grievance workspace in a demonstration using your own fictional sequence of events.
Record the event, its date, the source and the next question. Distinguish a direct observation from a member’s report or a representative’s interpretation. Keep the employer’s stated position separate from an argument you anticipate it might make.
Connect notes and documents to the matter they concern. Link the applicable contract provision and retain the version being relied on. Member details can supply employment context without turning every private record into general committee information. See how member information connects to representation needs.
Confirm the current step, the event that started the clock, the date recorded and any approved adjustment. Identify the person responsible for the next filing or response. Do not assume that a calendar entry establishes the governing deadline or that every grievance starts at Step 1.
Use a repeatable review of upcoming actions, including unclear dates and missing information. The deadline guide explains a team routine; the case handoff worksheet helps a covering representative confirm responsibility.
At resolution, record what was agreed, what remains disputed and what remedy has actually been delivered. Keep the final version of the settlement or response with the case. A prior matter may inform preparation later, but differences in facts and contract language still need review.
Ask for a demonstration of your role’s view rather than only an administrator’s screen. Test finding a document, recording a next action, reviewing a packet and handing the case over. If your organization is deciding whether to change tools, compare grievance software with spreadsheets and shared drives.
